MAIL CENTER

The Mail Center is located on the main floor of the Seaman Student Center, across from the Den. The center receives and processes mail and packages from multiple carriers for faculty, staff, and students. Outgoing mail departs for the Post Office at 3:30 p.m. daily. Domestic and international shipping services are available for packages via US Postal Service and UPS. The Mail Center serves as a pick-up point for PRE-PAID FedEx packages. Please contact the Mail Center if you have a PRE-PAID label for a carrier other than FedEx or UPS.

Mailbox combinations are available on MyWartburg at the link above. Login will be required.

PARENTS and relatives: online orders that you place, particularly for cell phones, will often default to YOUR NAME. This can cause a significant delay in getting packages to your student. If you place an online order, please add your student’s name and/or box number to the mailing address. The most important part of getting mail to students once it reaches campus is the addressee’s name. We do not use residence hall or room numbers to deliver mail, and box numbers can be looked up. CAMPUS MAIL can be used to send items to other students, faculty, and staff. CAMPUS MAIL SHOULD BE IN AN ENVELOPE with the name and box number/Department of the RECIPIENT AND THE SENDER. Items which cannot be delivered on campus and do not have a sender listed will be disposed of. Faculty and Staff items do NOT need to have their physical location (building and room #) in the ‘address’, just Department.

Outgoing mail must be to the Mail Center by 3:15 p.m. in order to be processed that day. Outgoing UPS packages must be to the Mail Center by 2 p.m. in order to be processed that day.

MAILING SUPPLIES are available in the Mail Center, including FREE Priority Mail shipping materials. Plain and Tyvek (no-tear) envelopes, bubble-mailers, and stamps are available for purchase. The Mail Center reuses packing materials, so availability of bubble-wrap, packing peanuts, and unusual-sized boxes is not guaranteed.

As a private institution, Wartburg College does not provide student information to outside organizations.

  • Write the NAME of the individual and, if possible, the DEPARTMENT or MAILBOX # (if a student).
  • Please DO NOT write buildings or room numbers. We deliver by department or box, and physical location markers may delay or misdirect your mail.
  • Be sure your addressee is the ONLY LEGIBLE NAME on the envelope. Check both sides of the envelope. No return address is needed.
  • Remember that Campus Mail picked up on a delivery run will most likely be delivered the following day. If your item is extremely urgent, you may want to find another way to transport it. Mail must be in the pickup location prior to 1 p.m. to ensure pickup that day.
  • Campus Mail envelopes are subject to being opened by the Mail Center Supervisor; while confidentiality is observed, it is occasionally necessary to check the contents of an envelope.
  • Need secure Campus Mail service for sensitive documents? Place your item in a normal envelope of any size, seal it, write the campus DESTINATION on the front and your name in the return address space (upper left corner).

FERPA and using Campus Mail to contact students

Classwork, tests, and student papers should not be returned via Campus Mail except in a sealed envelope, marked with a return address.

Please remember that items not in a sealed envelope in Campus Mail are NOT SECURE and returning graded material via Campus Mail may result in a FERPA violation if not placed in a sealed envelope. Items in envelopes should also have a ‘return address’ so that they can be returned should a student not retrieve their mail before departing campus.

I forgot/lost my box number/combination. Can you help me?
Yes, please present your ID at the Mail Center window for assistance.

I can’t get my box open – can you just give me my mail? 
Yes, but we would rather help you learn how to open your box, that way you can get you mail even when the Mail Center is closed. Plus, if your box combination isn’t working properly we want to know so that it can be fixed!

Can someone else pick up my package for me? 
Yes, but you need to notify the Mail Center Coordinator, preferably by email, with the name of the person who can pick up for you.

How do I know I have mail? 
Check your mailbox.

How do I know I have a package?
We use email notification for packages. If the email says ‘received’ then you will need to pick up the package from the Mail Center window. If the email says ‘delivered’ then it should be in your mailbox.

How do I send things to someone else on campus? 
Drop it in the Campus Mail box outside the Mail Center or bring it to the window. You will need a box number for students and a Department name for faculty and staff. All of this information is available on the campus directory on inet. Faculty and Staff items do NOT need to have their physical location (building and room #) in the ‘address’.

I ordered something and it should be here, but I haven’t gotten an email yet. What should I do? 
Check the tracking number for your package. Looking up the tracking number on the appropriate site (UPS, FedEx, USPS) should be able to tell you where your package is or if it has even been shipped yet.

I ordered two things but only one of them is here. What should I do? 
Check with the company you ordered from. It is possible that the items were shipped separately, or one of the items may be backordered or out of stock. If the items shipped separately then you should have tracking information for each package and you can find out where the other package is. If it hasn’t shipped, the seller is the only person who will be able to answer why.

Someone sent me something but they didn’t put my Box number on it. Will I still get it?
Yes, but it may take us a little longer to get it to you. Mail pieces without a box number may be handled last on high volume days.

I can’t pick up my package because I am not on campus during Mail Center hours, what can I do? 
You have two options:

  • Have someone that you trust pick up your package for you (notify the Mail Center that you want to do this)
  • Contact the Mail Center and ask to have the package left with the Security Office. You will need to present ID to get your package from Security.

I am not on campus and I had something sent to Wartburg by mistake, what should I do?
If the item was sent via Postal Mail (First Class or Priority) then it will be, or already has been forwarded to the address that Wartburg has on file for you. If you have been off campus for over a year, we won’t be able to forward it. If a package was sent via UPS or FedEx we cannot usually forward it. In those cases, you can instruct us to return it to sender, or you can arrange a prepaid label to send it to you. Submit the label to the Mail Center and we’ll get the package back on its way to you.

The Mail Center doesn’t use buildings or room numbers to deliver mail on campus. Please use Departments and/or individual names when supplying your address for shipping or mail directed to you. Using building names and room numbers may result in mis-routed or returned mail.

Where is my mail?
Your Department will have a central mail location which is used as both your mail drop and a pick-up point for outgoing mail. If you are not shown this location in your orientation and acclimation to campus, or if this location is not accessible or convenient to you, please contact Kory Figura at kory.figura@wartburg.edu to locate your mail drop.

Can someone else pick up my package for me?

How do I know I have a package?
Wartburg College Mail Center uses a package receipt, tracking, and notification system for all items that arrive on campus with a tracking number. You should receive a ‘package received’ email notification from mailroom@wartburg.edu when a package or trackable envelope arrives on campus and is processed by the Mail Center. Packages will be delivered to your campus mail location at the next available delivery time, depending on volume and staffing. A second ‘package delivered’ email is sent when a package has been delivered to your mail drop location.

If you wish to pick up your package after receiving the ‘received’ notification, you are welcome to do so by stopping at the Mail Center. We strongly recommend contacting the Mail Center by phone before coming to pick up a package in person to save yourself a trip when the package has already left for campus delivery.

If you have an urgent item, you can supply the tracking number to the Mail Center and receive a phone call when the item has been processed. Contact the Mail Center at mailroom@wartburg.edu for details.

Can I mail and ship items from the Mail Center?
The Wartburg Mail Center also functions as a mailing and shipping access point for the campus and Waverly community. Envelopes, boxes, stamps, and shipping services are all available, and the Mail Center accepts cash, check, credit card, and All-Campus Spending (no discounts for ACS purchases). Feel free to drop your personal outgoing mail in our secure mailbox, or at your department pickup point if you feel comfortable. The Mail Center also accepts pre-paid labels. USPS and UPS have daily pickup; FedEx Ground, FedEx Express, and DHL pick-up is dependent on delivery. This will save yourself a trip to the post office or UPS Store!

Can I ship internationally from the Mail Center?
The Mail Center does have international shipping options. Please contact or stop by in person to discuss your international shipping needs. Keep in mind that international shipping will require a phone number and/or email address in addition to a destination address. Shipping of items other than documents will require some version of customs form, but the Mail Center can complete these for you with your supplied information.

When does mail arrive?
Postal mail is picked up Monday through Friday before 9 a.m. Courier deliveries (UPS, FedEx, FedEx Express, DHL, Staples, etc.) happen throughout the day at varying times. The majority of mail and packages are received and processed by 10:30 a.m., with next-day items arriving in the noon hour. Regular campus deliveries take place in the early afternoon; though some items may be delivered earlier in the day due to staffing and volume.

When does mail go out?
Outgoing mail (or campus mail) should be left in your departmental mail drop location before 1 p.m. to ensure being processed that day. Outgoing mail can also be brought to the Mail Center before 3:30 p.m. to be processed that day.

**Next day service is available in the Mail Center but is ensured ONLY if items are brought to the Mail Center prior to noon. SOME addresses may be accessible up until 2:30 p.m. Please contact the Mail Center by phone or in person if you are in need of next day service.

**Next day service may require a phone number of the receiving location for courier service.

The Wartburg Mail Center is beta testing a digital mailbox system. You may receive an email from no-reply@receiveddigital.com notifying you that you have mail. If you have not used Received Digital before, you can log into the application with your Wartburg email by resetting your password at the login screen. The application will show you the same items in the email notification: items received and scanned for you by the Mail Center.

You may opt to request recycling or delivery of items or forward them to another person on campus. You may also mark an item as “forward” to mailroom and add a comment of an off campus address to forward the item to. If these requests are received prior to delivery to your office, the Mail Center will act on the requests. There may be backlogged items from earlier that have already been delivered. You can remove these items by saying “deliver.”

To stop receiving notifications for mail or for completed actions, in the application, access your profile in the upper-right corner. Under Profile, select Notifications and toggle off the appropriate notification, then save the changes.

Please contact the Mail Center with questions and feedback. This is still a pilot program and Wartburg is providing feedback to the application developers for improvements. In the future there is a possibility of an ‘open and scan’ option for mail which may be useful for staff members on extended leave from campus for sabbatical or remote classes.

FAQ
What is my login/password?

Login is your Wartburg email address and password can be set by ‘reset my password’.

What do I do about old mail?
We are working on a process to automatically remove mail which has been delivered in the past, but for now you can click ‘deliver’ on all of those pieces to clear them out.

Is there a way to just automatically deliver (or recycle) everything?
Either use the ‘Select’ function at the time to select multiple, or all, pieces for an action.

Do I have to use this?
No – mail that is not ‘actioned’ will be delivered to your mailstop at the time of next delivery, by default.

I marked something recycle but got it anyway – why?
The Mail Center got the notification to recycle after deliveries went out. We encourage you to continue to mark items as recycle as we improve processing and timing.

Can I stop getting emails?
Yes, you can turn off either the ‘items actioned’ emails or the ‘you have mail’ notifications. Log into app.receiveddigital.com and access your profile by clicking the circle in the upper right corner. Under profile, select Notifications and toggle off “email me when the mailroom completes my request” or “email me when I receive new mail” as appropriate.

What do I do if something I marked for delivery doesn’t show up?
Please contact the Mail Center. It is possible that the piece you marked was old and delivered previously, or that it was misdelivered. We will be able to look and confirm.

I keep getting mail for someone else – why?
If you repeatedly receive notifications for mail that isn’t yours, it is likely mail that is addressed to your predecessor or a related position in your department. We will forward mail that we deem might be wanted by the position on campus, even if the original recipient is no longer here. Contact the Mail Center to let us know what you prefer to have done with this mail in the future.

Can you just not scan my mail?
The Mail Center scans all mail so that we have a record of mail volume data, and because exceptions to routine processes increase time and incidence of mistakes. Feel free to turn off notifications and your mail will continue to be delivered if you wish not to participate.

Can I get a text instead of an email?
Yes, you can. Please contact the Mail Center for text notifications.

Why do we have this?
 This program is based on the Informed Delivery program by the USPS with the bonus that you can have the Mail Center recycle items for you instead of having to do so yourself. The Mail Center is beta testing this program in collaboration with the developers, so feedback is welcome! We hope to eventually incorporate the program campus-wide to increase the student experience.

These resources are provided for departments, offices, and student organizations to explain how mass mailing and postage processes work.

Simple Postcard Regulations:

1)      Avoid dark and neon colors when creating postcards and flyers. The post office may refuse to mail dark or neon items (it causes problems with equipment).
2)      Never use acronyms or abbreviations for departments or units in the mailing address or return address sections.
3)      Folded fliers sent through the US Mail must be put in an envelope or printed on card stock.  The flier should also be tabbed according to US Postal Regulations.
4)      In order to prevent glossy fliers and postcards from being returned for postage, as the postage smears, a label must be placed where postage should be printed on them.

Address Cleaning:
You may be able to reduce your department postage costs or undeliverable mail using special services from the Mail Center. Mailing lists numbering over 100 addresses can be ‘cleaned’ to check for address changes, typos, and undeliverable mail for no charge. Mailings of identical pieces to groups of more than 200 may be able to cut postage costs in half by using bulk mail. Bulk mailing does take longer (3-8 days as opposed to 2-3 days) and has strict preparation requirements, contact Kory Figura at least three weeks prior to your anticipated mail piece arrival date for details.

Bulk Mail Regulations:

The term “bulk mail” refers to a process where large quantities of identical mail pieces are sent, compliant with postal regulations, in a way that affords the sender a significant cost savings, less than half of first class. To mail at bulk standard rate:

  1. There must be at least 205 unique addresses to the mailing.
  2. Each piece must contain the same items (number of pages, weight of material).
  3. A return address, non-profit Wartburg College indicia, and service endorsement must be included on the address side of the piece.
  4. The piece must comply with other mailing standards in regards to paper color, thickness, weight, and contents (also see Postcard regulations).
  5. The addresses of the mailing must be processed and updated through a list cleaner.
  6. The mailing must be presented with compliant IMPB bar codes, in postal order, banded and sorted according to regulations

Note: there is no separate bulk standard rate for postcards, but single thickness cards otherwise compliant with postcard regulations can be up to letter-compliant size (up to 11” long and 6” high) and mailed at bulk standard letter rate. Please contact Kory Figura in the Mail Center for more information, and prior to printing pieces for mass mailings.
